I've been logging public COAs from five suppliers for six weeks, no orders, just PDFs. Three show 98.1-99.2% by HPLC, but one batch lists 97.4% and another has no chromatogram, only a pass stamp. Two COAs use different lab logos for same supplier.
I'm trying to build a simple red-flag score: missing method, mismatched batch ID, purity delta over 1.5%, certificate date vs. retest window. Is this overkill? What fields would you track?
Missing chromatogram is the biggest tell for me. A purity number without method or integration is just a screenshot.
I track retest window to.o Saw a COA dated 2023 with a 2025 retest, which made no sense.

I've been doing something similar, but only with vendor-posted docs, not orders. My sheet has 14 columns and the useful ones ended up being batch ID consistency, lab name, method, purity, date, and whether the COA is searchable text vs. image.
The 1.5% purity delta threshold feels arbitrary though. Different methods can easily swing that.

Also, two logos for one supplier could be a white-label lab or just a rebrand. Context matters. I've stopped treating any single field as decisive.

A test date before the batch date is an instant eyebrow raise for me. Also, does the lab’s email domain match its website?

I’ve seen PDFs where the test date predates the “manufactured” date, or the lot shows up on the lab’s own portal with a different result. Also check the lab’s accreditation number on their directory—logos are easy to swipe.
Curious: are you scoring a missing chromatogram heavier than a >1% purity spread, or treating them as separate flags?

You're not wrong. A pass stamp with no chromatogram is a hard no.
One column I’d add after burning myself: “purity basis.” HPLC area% isn’t the same as peptide content by mass. If one COA’s 98.1% excludes water/counterions and another’s 97.4% includes them, your >1 delta rue is mostly noise.
Also log the accreditation number/scope in the PDF footer, not the lab logo; same logo can be licensed to different sites. What’s your denominator? That’ll tighten the score more than another PDF.
new column idea: date chain. i’ve seen COAs where the lab analysis date is before the batch mfg date, or the retest date is just “N/A.” also check if the lab is actually accredited for that specific assay — logos are easy, scope certs aren’t.
i’m doing the same 2am spreadsheet thing between matches, swapping diet soda for seltzer, and logging “date received by lab” vs “batch date.” if those don’t line up, i don’t care how pretty the hplc is. what’s your cutoff for date gaps?
Hi—total newbie here, only on week one and mostly lurking. This thread is making me realize I don't even know what to look for. One column I haven't seen mentioned: who's listed as the client/submitter on the COA? If it's the supplier's own name, is that still really "third-party"?
Also, does the lab's accreditation number actually cover the specific method? I tried to check one lab's scope and got lost. Is that overkill for a red-flag score, or worth adding?
